Privacy Policy

This policy explains how Megalos Solutions operates NIMI and handles information when you use asknimi.com, the NIMI portal, WhatsApp conversations and related support services.

1. Who controls your information

Megalos Solutions, Ghana, operates NIMI and is responsible for deciding how personal information is processed for the NIMI service. You can contact us through the NIMI contact form. Businesses using NIMI may separately control information about their own customers that they upload or record in the service.

2. Information we collect

  • Account information, including your name, WhatsApp phone number, business name, role and authentication records.
  • Business information such as products, services, prices, branches, sales, expenses, customers and uploaded report contents.
  • WhatsApp and portal conversations, attachments, feedback, delivery status and conversation state.
  • Subscription, payment status and provider references. NIMI does not store complete payment-card credentials.
  • Device, security, diagnostic, usage and audit information such as IP address, timestamps, request identifiers and error records.
  • Review annotations and redacted decision evidence used to evaluate and improve NIMI.

3. How we use information

  • Authenticate users and associate them with the correct business.
  • Record transactions, process uploads, produce analytics and answer business questions.
  • Deliver requested WhatsApp messages, reports, security codes and service notifications.
  • Process subscriptions, prevent fraud, secure accounts and maintain audit records.
  • Provide support, investigate failures and comply with legal obligations.
  • Improve prompts, rules, routing and models through redacted, approval-gated evaluation processes.

4. WhatsApp and communications

When you message NIMI or request a WhatsApp verification code, WhatsApp and Meta process your number and message information under their own terms. We use your number to provide requested account and business services. Separate permission is required for marketing communications. You may withdraw permission for optional communications through the contact form or NIMI’s WhatsApp channel.

5. When we share information

  • Infrastructure, hosting, database, monitoring and communications providers acting for NIMI.
  • WhatsApp/Meta for WhatsApp delivery and authentication.
  • AI model providers when necessary to provide or evaluate an AI-enabled feature.
  • Payment providers for transactions initiated by you.
  • Authorities or other parties where required by law, to protect rights and safety, or in a corporate transaction.

We do not sell personal information or share one business’s information with another business.

6. Customer information uploaded by businesses

A business must have the lawful authority and required notices or consent before uploading customer names, phone numbers, sales or other personal information. NIMI processes this information to provide services to that business. The business remains responsible for the accuracy and lawful collection of its customer data.

7. Retention and security

We retain information only for as long as needed to provide NIMI, meet legal and accounting duties, resolve disputes and maintain security. Quality-review evidence is generally retained for up to 365 days unless a different legal or operational requirement applies. Approved, redacted evaluation cases and immutable audit records may be retained longer to prevent regressions and demonstrate accountability.

We use access controls, tenant separation, encryption in transit, credential controls, audit trails, redaction and approval gates. No service can guarantee absolute security.

8. Your rights

Subject to applicable law, you may request access, correction, deletion, restriction or objection, and may withdraw consent for optional processing. Ghana’s Data Protection Act, 2012 (Act 843) provides data-subject rights. Submit your request through the contact form using the phone number associated with your account so we can verify authority safely. We may verify your identity and retain information where legally required.

9. International processing and children

Providers supporting NIMI may process information outside Ghana. We apply contractual and technical protections appropriate to the service. NIMI is a business service for adults and is not directed to children.

10. Changes and complaints

We may update this policy and will publish the revised effective date. Contact us first through the NIMI contact form. You may also contact Ghana’s Data Protection Commission if you believe your rights have not been respected.
